Since 1959, AWLQ has been dedicated to providing life-saving care to animals in need. We operate rehoming centres, community vet clinics, and outreach programs, all to give every animal a second chance. As part of our Facilities team, you’ll be contributing directly to the smooth running of our sites, ensuring they are well-equipped to care for animals and support our staff, volunteers, and visitors. 

 

About the role!

This is a rare opportunity to join Animal Welfare League Queensland (AWLQ) as an Administration Officer in the Facilities Department and play a crucial role in maintaining and improving our facilities to help give animals the best chance at finding their forever homes!  

 

You will provide essential support to our Facilities team, ensuring our animal shelters, clinics, and operational spaces run efficiently. You’ll manage stock control, coordinate suppliers, assist in project planning, and support fleet management - all while working closely with the Project and Facilities Manager to improve our rehoming facilities.  

 

We are looking for an exceptionally organised and detail-oriented professional with a passion for animal welfare who is willing to get 'hands-on' at our facilities to ensure the wider team is taken care of.

 

Key Responsibilities

  • Procurement & Stock Control – Manage orders and stock levels for essential supplies such as food, medical items, cleaning products, and uniforms to ensure our shelters and clinics operate smoothly. 
  • Supplier & Relationship Management – Build and maintain strong relationships with suppliers, contractors, and service providers to secure cost-effective solutions. 
  • Administrative Support – Handle records, invoices, procurement documentation, and facility maintenance coordination. 
  • Project Assistance – Support facility improvement projects by sourcing quotes, preparing proposals, and liaising with builders and tradespeople.  
  • Fleet Management – Assist with vehicle acquisition, registration, insurance, servicing, and fuel accounts to keep our operations running efficiently.
  • Communication & Reporting – Provide updates to your manager, contribute to process improvements, and maintain clear documentation.
     

What you need to succeed

  • 1+ years of administration experience, preferably in procurement or facilities support. 
  • Strong organisational and time-management skills.  
  • Proficiency in Microsoft Office Suite and the ability to learn new systems.
  • Excellent communication and relationship-building abilities.
  • Ability to work independently and within a team environment.
  • A keen eye for detail and a proactive problem-solving mindset. 
  • A valid driver's licence.
  • Willingness to obtain a Police Clearance. 
  • Forklift licence (or willingness to obtain if required) is desirable.
