The Opportunity

We're seeking an experienced Administration Officer to join our Animal Operations team on a fixed-term contract of 12 months, supporting the Head of Animal Operations to ensure our Rehoming programme is industry-leading and underpinned by a One Welfare approach. This role oversees the operational delivery of systems, data, reporting, financial oversight, compliance and administration that support our Rehoming Centre operations across multiple sites. You'll be working under the banner of one of the most respected brands in animal welfare, with regular engagement across all our sites.

Key Responsibilities

  • Maintain data integrity across all rehoming operations, ensuring accurate and consistent system usage across sites.
  • Manage dashboards, reporting tools and KPI tracking, and analyse operational data and trends to deliver insights that drive informed decision-making and continuous improvement.
  • Prepare and coordinate internal and external reporting, including Board-level reporting, monthly statistics, council contract reporting and stakeholder reporting.
  • Support financial processes, including budgeting, variance analysis, and cost monitoring, as well as administrative functions such as payroll checks, roster compliance, and invoicing.
  • Support recruitment, onboarding, team administration and the handling of customer feedback.
  • Assist in developing and maintaining systems such as SharePoint and ShelterBuddy, promoting consistency across sites and identifying opportunities for improvement and automation.

Essential Skills and Attributes

  • A minimum of 3 years' experience in a similar role in the animal shelter industry, with proven experience in multi-site operations and coordination.
  • Strong data analysis, reporting and systems management skills, with competency in the Microsoft Office suite and ShelterBuddy.
  • Demonstrated administrative and operational management experience, including financial literacy and experience supporting budgets and reporting.
  • Excellent verbal, written, advisory, negotiation and interpersonal communication skills.
  • Ability to work both collaboratively and autonomously, prioritise workloads effectively and make sound decisions.
  • A valid driver's licence and the commitment to attend all sites regularly.
  • Approved Police and Vulnerable Persons Checks.
