The Opportunity
We're seeking an experienced Administration Officer to join our Animal Operations team on a fixed-term contract of 12 months, supporting the Head of Animal Operations to ensure our Rehoming programme is industry-leading and underpinned by a One Welfare approach. This role oversees the operational delivery of systems, data, reporting, financial oversight, compliance and administration that support our Rehoming Centre operations across multiple sites. Key Responsibilities
- Maintain data integrity across all rehoming operations, ensuring accurate and consistent system usage across sites.
- Manage dashboards, reporting tools and KPI tracking, and analyse operational data and trends to deliver insights that drive informed decision-making and continuous improvement.
- Prepare and coordinate internal and external reporting, including Board-level reporting, monthly statistics, council contract reporting and stakeholder reporting.
- Support financial processes, including budgeting, variance analysis, and cost monitoring, as well as administrative functions such as payroll checks, roster compliance, and invoicing.
- Support recruitment, onboarding, team administration and the handling of customer feedback.
- Assist in developing and maintaining systems such as SharePoint and ShelterBuddy, promoting consistency across sites and identifying opportunities for improvement and automation.
Essential Skills and Attributes
- A minimum of 3 years' experience in a similar role in the animal shelter industry, with proven experience in multi-site operations and coordination.
- Strong data analysis, reporting and systems management skills, with competency in the Microsoft Office suite and ShelterBuddy.
- Demonstrated administrative and operational management experience, including financial literacy and experience supporting budgets and reporting.
- Excellent verbal, written, advisory, negotiation and interpersonal communication skills.
- Ability to work both collaboratively and autonomously, prioritise workloads effectively and make sound decisions.
- A valid driver's licence and the commitment to attend all sites regularly.
- Approved Police and Vulnerable Persons Checks.
